1. Scope

This Privacy Policy applies to the Apollo & Mercy website, waitlist, contact form, and account features, including dog profiles, care records, documents, Smart Import, Emergency ID, sharing tools, and Vet Packet downloads.

Apollo & Mercy helps dog owners organize and share information. It is not a veterinary provider and does not provide veterinary care, diagnosis, or medical advice.

2. Information we collect

Depending on how you use Apollo & Mercy, we collect:

  • Account and authentication information, such as an email address, authentication data, account identifiers, and session information.
  • Waitlist information, including an email address and records of consent, status, source, and submission timing. Joining the waitlist does not create an account.
  • Contact information, including the name, email address, and message you choose to send through the contact form.
  • Billing information, including Stripe customer and subscription identifiers, subscription status, billing dates, and payment status. We do not store full card numbers.
  • Dog and care information, such as a dog’s name, date of birth or estimated age, breed, sex, weight, microchip information, photo, emergency details, health events, vaccinations, medications, reminders, and related provider or prescriber details.
  • Documents and import information, including uploaded files, file metadata, Smart Import extraction results, review decisions, and processing information such as provider, model, token counts, duration, and status.
  • Sharing information, such as an invitee’s email address and role, selected sharing permissions, Vet Share link settings, expiration and revocation details, and documents selected for sharing.
  • Technical and security information, such as essential cookie and session identifiers, request metadata, IP address and browser or device details recorded by hosting or security infrastructure, timestamps, and error or security logs.
  • Public page counts, grouped by page and minute, to understand use of our home, contact, privacy, terms, and sign-in pages and our adoptable-dog directory. For the directory we also count, in the same way, clicks on “Apply to adopt” and on our sign-up prompt, and how many sign-ups start from that prompt. These analytics do not store visitor identifiers, IP addresses, referrers, query strings, or private account and dog-record URLs. These counts support a rolling 30-day activity report.
  • Page performance measurements, such as loading speed, responsiveness, and layout stability, to help us improve the website. We remove query strings, fragments, and record identifiers from the page addresses sent with these measurements and exclude authentication, invitation, and public sharing links.

We collect information directly from you, automatically when needed to operate and secure the service, and from actions you choose to take within Apollo & Mercy. We do not ask account holders to provide their own dates of birth.

3. How we use information

We use information to:

  • provide, maintain, secure, and troubleshoot Apollo & Mercy;
  • understand public page activity and overall use of account and care features through aggregate counts;
  • authenticate account holders and maintain account sessions;
  • organize dog profiles, care records, reminders, documents, and owner-selected emergency information;
  • perform Smart Import when an owner chooses to submit a supported document for extraction and review;
  • create owner-controlled invitations, Vet Share links, and Vet Packet downloads;
  • manage the waitlist and, only when compliant sending and unsubscribe handling are in place, send service updates covered by the waitlist consent;
  • respond to contact, privacy, account-data, deletion, and security requests; and
  • protect users, enforce applicable requirements, and comply with law.

We use third-party providers for hosting, account authentication, private storage, security, email delivery, and other functions necessary to operate Apollo & Mercy. These providers may process information on our behalf to perform those functions.

Stripe is our payment processor. When you begin checkout, we provide Stripe your email address and an internal account identifier. Stripe collects the card and billing details you enter on its hosted page, processes subscription payments, and sends us billing and subscription status. Apollo & Mercy does not receive or store full card numbers.

Smart Import

When you choose Smart Import, the document you select is sent to OpenAI to extract information. We configure the request so the generated response is not stored for later retrieval through OpenAI’s API. OpenAI still processes the document to provide the feature.

4. Sharing and owner controls

Owners choose when to use Apollo & Mercy’s sharing tools. Household or viewer invitations grant selected account access. Vet Share links expose only the categories and documents selected by the owner, expire no later than 30 days after creation, and can be revoked. Anyone who has an active Vet Share link may be able to view the selected information, so owners should send links carefully.

A Vet Packet is a point-in-time PDF generated for the owner to download. Creating one does not create a public link or automatically send it to another person. Owners decide how to deliver downloaded files.

Adoptable-dog directory. You can browse apolloandmercy.com/adopt without an account. Information about the animals and rescues comes from RescueGroups.org. When you choose “Apply to adopt,” you leave our site for the rescue’s own application; anything you submit there is handled under that rescue’s policies, and we do not receive adoption applications. As RescueGroups.org requires, each dog’s page loads a small image from RescueGroups.org that counts listing views; loading it shares standard request details, such as your IP address and browser type, with RescueGroups.org.

We may also disclose information when reasonably necessary to comply with law, respond to lawful process, protect rights or safety, investigate abuse or security events, or complete a business transaction subject to appropriate protections.

5. Cookies and privacy signals

Apollo & Mercy uses essential cookies and similar session mechanisms to authenticate existing members, maintain sessions, and secure the service. We do not currently use nonessential analytics cookies, advertising cookies, or advertising trackers.

Apollo & Mercy does not currently sell personal information or use it for targeted advertising. Our public page analytics and page performance measurements use no cookies or persistent browser storage and skip collection when browser “Do Not Track” or Global Privacy Control signals are enabled. Essential account and security operations continue to work. If our practices change, we will update this policy and provide choices required by applicable law.

6. Retention

We retain information for as long as reasonably necessary to provide the service, maintain account and sharing functionality, respond to requests, protect security and integrity, resolve disputes, and meet legal obligations. The appropriate period depends on the type of information, why it was collected, account status, owner actions, security needs, and applicable law.

Deleting a supported record or revoking a share removes or disables it in the current service as described by that feature. An authenticated member may use Account & Privacy settings to permanently delete their account, owned dog records, uploads, sharing access, and sign-in identity after confirming the request and verifying their password again. Residual copies may remain temporarily in backups or logs until they are overwritten or no longer needed.

7. Your choices

Existing members can view and correct many dog and care records, delete supported records and documents, revoke sharing access, download uploaded documents, generate Vet Packet PDFs, download a self-service account-data export, and permanently delete their account in Account & Privacy settings. Downloading an export is recommended before account deletion but is not required. Waitlist members may contact us to unsubscribe or request deletion of their waitlist entry.

You may contact us to request access to, correction of, or deletion of personal information associated with you. We may need to verify a request and may retain information when reasonably necessary for security, legal compliance, or other permitted purposes. Rights vary by location, and we will respond as required by applicable law.

8. Security

We use administrative, technical, and organizational safeguards designed to protect information, including authenticated access, database access controls, private file storage, limited-purpose sharing tokens, and server-side handling of service credentials. No system or transmission method is completely secure, and we cannot guarantee absolute security.

Please do not send passwords, payment information, or sensitive medical information through the public contact form. Report a suspected security issue to the support address below.

9. Children’s privacy

Apollo & Mercy is intended for adult dog owners. A person must be at least 18 years old to create or use an Apollo & Mercy account. Apollo & Mercy is not directed to children, and we do not knowingly collect personal information from anyone under 18.

We do not collect account-holder dates of birth and do not claim to use technical age verification. Authenticated account holders must attest that they are at least 18 and accept versioned Terms and Privacy documents before using account features. This requirement applies regardless of when or how an account is created.

If you believe a person under 18 has provided personal information to Apollo & Mercy, contact us at the support address below so we can investigate and take appropriate action.

10. United States operation and updates

Apollo & Mercy is operated by Apollo & Mercy LLC in the United States. Information may be processed and stored in the United States and other locations where our service providers operate, subject to applicable law and provider safeguards.

We may update this Privacy Policy as the service or legal requirements change. We will post the revised policy with a new “Last updated” date and provide additional notice when appropriate for a material change.
